Managing Reading Tasks Frequency

It is possible to set periodic reissue of reading tasks within each document, but this should be used for special cases and central settings should be applied for general requirements.  The settings within a document overrule the ones declared centrally.


Setting the frequency of system reissued Reading Tasks

To globally adjust the frequency of reading tasks, please follow these steps:

  1. Go to 'Administration > Settings > Organizational Unit Preferences'

  2. Select an OU where most documents with reading tasks reside in the dropdown field, 'Organizational Unit:'
  3. Click the row labelled, 'Skilled tasks settings' to open that tab
  4. Scroll down to the fields for the document types you need to adjust (e.g. 'Time interval for reissuing skilled tasks for SOP document type')
  5. Enter values with a letter after the number, such as, '1y', '12m', 365d'
  6. Scroll down and click 'Save'
Note
The field, 'Time interval for Due Date on system reissued skilled tasks' doesn't need a letter after the number because the field is already set to accept whole numbers of days. Any letter you add will be ignored, so declaring '1y' will be interpreted as 1 day.

To propagate your settings to other OUs, you can use the 'copy' function:

  1. Go to 'Administration > Settings > Organizational Unit Preferences'

  2. Select the OU where you already made the required changes in the dropdown field, 'Organizational Unit:'
  3. Tick the checkbox in the left column of the row labelled, 'Skilled tasks settings
  4. A button will appear above the list of settings, on the right - 'Copy Preferences To'
  5. Click it to select with which OUs you wish to share the same settings
  6. The field, 'Please select the destination OU(s):' allows selecting individual OUs or the whole account; selected items turn green
  7. Click the blue 'Copy Preferences' button to finish and close the pop-up window


To adjust the reading task frequency of an individual document:

  1. Open the document

  2. From the Actions dropdown menu, select 'Skill Reissue Interval' and click 'Go'
  3. In the 'Time Interval' field, enter whole numbers followed by one of the letters, 'd', 'w', 'm', or 'y' (e.g., '6m')
  4. Click 'Save' to finish and close the pop-up window
