Use of iPassport’s document Effective Date Functionality
Introduction
The delayed release (Effective Date) option can be found within all controlled document types in iPassport and allows the user to authorise, or approve a controlled document and then release it formally on a separate date. Therefore, providing time for staff to read the latest version and sign off to say they have done so and be prepared for the official release.
The function is entirely optional and is on a document-by-document basis. If the effective date is left blank (the default) or set to today's date, then the controlled document is released at the same time it is authorised.
If a different effective date is added then both the authorised awaiting release document, and the authorised waiting to be superseded are marked clearly to avoid any confusion. The controlled document waiting to be superseded is superseded automatically by iPassport the moment the authorised document awaiting release is released.
The delayed release (Effective Date) tool is found within the normal authorisation area of the system and is controlled by the same permissions that govern authorising a controlled document.
Delaying the Release of a Controlled Document
The effective date is set at the time a document is authorised, as such it is found within the authorisation screen. The Effective Date field is blank by default, with the hint Leave blank unless you want to schedule in the future. Once a document is pending release, its release date can still be changed (see Changing the Release Date below).

Complete the authorisation options as normal and select the date for this version to be released (effective from). If a different release date (effective date) is selected then this is displayed in the header of the newly authorised version.

If any skilled tasks are associated with the controlled document they will be released at this stage as these are tied to the authorisation date and not the release/ effective date.
By default, the due date of these tasks is set in the usual way, from the skill's re-issue interval. If the OU preference Set skilled tasks' due date to be the same as a release date if document is Pending Release (in the Skilled tasks settings group, off by default) is enabled, the tasks for a pending release document are given the effective date as their due date instead. With this preference enabled, changing the release date afterwards also moves the due date of any skilled tasks that have not yet been completed.
The release date is recorded in the ‘History’ tab for the controlled document for reference, and can be found under the ‘Action: Authorised’ section.

Searching for a Delayed/ Pending Release Controlled Document
Existing OU access permissions cover all delayed/ pending release documents, with the permission of ‘View Authorised… ‘covering access to them. They can be found within the normal Search area for controlled documents under the ‘Status’ of ‘Pending Release’.
Selecting the ‘Pending Release’ option displays all of those documents pending release. The search and be further adjusted if needed. As with all search results it is possible to export this using the ‘Export List’ option.

Releasing a Document Early
Once a document has been set up to be released on a specific date it is still possible to override this and release the document early, with this being accomplished via the drop down menu within the controlled document question.
Selecting the ‘Release Document’ option and clicking ‘Go’ the release option is displayed, with a warning that releasing a document before its planned date will set the document as authorised and ready to use.

Adding the ‘Reason for releasing document’ and clicking ‘Release’, releases the document version immediately and supersedes the previous version at the same time. All early release functions are recorded within the ‘History’ tab of the controlled document.
When a document is released, whether early or automatically on its effective date, iPassport also posts a notice with the heading <Document Type> Released: <Index>: <Name>, telling users that the document has been released and is now the current, authorised version, and asking them to update their printed copies of the document.
Changing the Release Date
While a document is pending release, its release (effective) date can be changed via the drop down menu within the controlled document in question. This option is available to the same users who can release the document.
- Select the ‘Change Release Date’ option and click ‘Go’
- Enter the new Release Date. It must be a valid date, cannot be in the past and must be different from the current release date
- Enter the Reason to change release date (mandatory)
- Click Save
The change is recorded within the ‘History’ tab of the controlled document as ‘Release Date Changed’, together with the new release date and the reason given.
